Purchasers of MindTrack: We collect and retain personal information (e.g., name, email, billing details) only when you purchase MindTrack services.

Employees Using MindTrack: We do not collect any personal data for employees using the platform. Instead, we assign each organization a unique company slug in the URL and track unique sessions and chat history using that slug and a timestamp.

AI Model Interactions

When MindTrack makes calls to AI models behind the scenes, only the conversation text is transmitted. No company-specific information or personal data is sent to the AI provider; the AI only sees generic MindTrack queries.

Monitoring & Retention

We monitor all chat communications. All chat history is stored in our database for up to 30 days after the termination of a pilot campaign or contract. Upon request, we will delete company-specific chat histories at any time.

Optional PII for Notifications

If MindTrack is leveraged to manage communications (e.g., email or SMS surveys), we may be provided with email addresses and/or cell phone numbers. This PII is used solely to send notifications and survey links and is never shared with any third party.

Even when we send emails or text messages containing survey links, all conversations remain anonymous. We do not associate which email address or phone number corresponds to specific chat history; we do not store identifiers that link PII with conversations, by design to protect anonymity.

Data Sharing & Disclosure

We do not sell or rent your personal information. We may share data only with:

• Service providers: Third parties performing services on our behalf (e.g., hosting, payment processing).
